At the Service Unit, about 300 people work together to provide expert support and deliver services to the entire university. Currently, a development project is underway to improve the unit's processes and move towards a process-oriented organization.

The mission of the Service Center is to provide service and support to students, staff, and the public. We are located in strategic places within the university area. We offer a workplace with varied tasks and good opportunities for professional development.

The Service Center at Gothenburg University is now looking for a service-oriented, committed, and curious service administrator who will be the university's face to the outside world.

JOB RESPONSIBILITIES

At the Service Center, we provide service and support to students, staff, and the public. In practice, this involves a variety of tasks in the form of information, service, sales, and support. We work through several different channels, including in-person visits, phone, web, and email. A typical day can include everything from producing and issuing a new GU card to a student to answering emails from a person in Pakistan interested in studying at Gothenburg University. The section also includes the central switchboard that answers and forwards calls to the entire university. Here we also ensure that all individuals are registered with the correct phone numbers in the directory so that everyone can reach each other. Together, we make everyday life work for the university's students and employees. You will be primarily stationed at the switchboard, but are expected to be able to staff more of our locations and channels as needed after training.

QUALIFICATIONS

We are looking for someone who has:

  • education at the university or college level
  • at least two years of experience working in a reception, switchboard, contact center, information desk, or equivalent
  • experience in case management through text-based customer contact
  • experience with customer contact via phone
  • good knowledge of the education system in Sweden and study-related issues
  • good computer skills and the ability to quickly familiarize yourself with new systems. You are accustomed to switching between different digital tools and have a good understanding of how systems interact.
  • very good ability to express yourself clearly and factually in both Swedish and English, in both speech and writing
  • good administrative skills

It is also required that you:

  • have a genuine interest in service and the ability to make the customer feel important
  • can maintain calm even during peak times
  • are solution-oriented, do not feel the need to know everything, but are confident that problems are meant to be solved
  • are flexible and can quickly adapt between physical locations and different communication channels

Experience with study administrative systems such as Ladok, TimeEdit, or Canvas, or other systems deemed equivalent by the employer is an advantage. Great emphasis will be placed on personal suitability as this position involves a lot of customer contact.

EMPLOYMENT

The position is a full-time (100%) temporary contract until 2026-03-31 with organizational placement at the Service Center within the Service Unit in Gothenburg. Your title at the university will be service administrator. Start date is June 1, or by agreement. A probationary period may apply.
