We are looking for an Accountant Administrator for a company in Karlskrona. Start as soon as possible, 9-month contract to begin with.

Assignment Description:

We are seeking an experienced and responsible administrator with solid practical experience in accounts payable, invoice management, and record maintenance. The role requires a meticulous and self-driven individual with the ability to prioritize tasks effectively and ensure high quality in ongoing administration.

The workload varies throughout the year, with a clear peak in December and January. During this period, the focus is on managing a large influx of invoices and payments, primarily related to rents. The intensity is high and requires structure, accuracy, and the ability to work efficiently under pressure. For the rest of the year, the work encompasses broader administrative management, focusing on record maintenance, contract management, and ongoing follow-ups.

Personal suitability is crucial, as the role involves working in a smaller team with close collaboration. To succeed in the role, a solution-oriented attitude, a strong sense of responsibility, and the ability to communicate clearly and professionally, both internally and with external parties, are required.

Main Responsibilities:

• Manage and control supplier invoices and ensure correct payment flow.
• Administer payments and independently investigate rejected payments.
• Update and ensure the quality of records for property owners and master data.
• Handle terminations and ensure that related administration is carried out correctly.
• Register signed contracts and terminations.
• Perform routine administrative tasks, including:

1. Monitoring the status of contracts and payments.
2. Updating rents and changes in contracts.
3. Checking upcoming payments.
4. Following up on missing invoices.
5. Direct contact with property owners via email and phone as needed.

Qualifications:

• At least 5 years of concrete experience in accounts payable, including invoice management, payment flows, and reconciliations.
• Solid experience in record maintenance and master data administration.
• Ability to independently drive investigations and ensure that cases are concluded correctly and efficiently.
• Strong analytical skills and experience working with large data sets.
• Excellent communication skills – clarity and precision in both written and spoken communication are essential.
• Experience working in business systems and knowledge of basic Excel functions.
• Structured working method with the ability to handle periods of high workload.
• Documented good collaboration skills and professional demeanor in both internal and external contacts.

Meritorious:

• Experience from the real estate industry and/or rental administration.

• Previous work with payment investigations.

This role requires fluent knowledge of Swedish and English.

This is a full-time consulting assignment via Incluso in Karlskrona. Start is as soon as possible, and the assignment is time-limited to 9 months to begin with, with the possibility of extension thereafter. The role requires on-site work at least 75% of the time.
