Approximately 1,000 people work at the Urban Environment Administration with overall responsibility for Gothenburg's public spaces and collective accessibility. The administration is responsible for places that Gothenburg residents use and visit every day. Job Responsibilities
Would you like to coordinate how projects within outdoor environments and urban life are transferred to a well-functioning administration? The Reception Unit is responsible for a clear and coordinated process where parks, squares, playgrounds, and other public outdoor areas are received from the project phase to administration, as well as operation and maintenance. We work to ensure that technical documentation, relationship documents, and other materials meet the right quality standards, so that the transition to administration takes place in an efficient and structured manner. We are currently in an exciting development phase where we are building common working methods and routines. We are now looking for an engaged reception coordinator who wants to develop the operations together with us.
The Role of Reception Coordinator
As a reception coordinator with us, you have an important coordinating role where you work closely with the project and administration organization, unit manager, and other relevant operations. You are a central part of the reception process and ensure that handovers from projects to administration are of high quality. The role involves both operational coordination and development work, where you contribute to creating efficient working methods and processes.
Your main responsibilities:
- Coordinate the reception of responsibility, facilities, and administration data from projects to administration.
- Coordinate the reception work together with project managers and relevant operations.
- Ensure that technical documentation, relationship documents, and other materials are complete before handover to administration.
- Handle contracts and other documentation related to the reception and administration process.
- Coordinate and administer temporary projects and facilities in the urban environment.
Qualifications
Your Profile
We are looking for someone who thrives in a coordinating role where you can combine structure, development work, and collaboration with many different contact points. You have an interest in the urban planning process and are motivated by creating efficient working methods that contribute to quality in the transition from project to administration.
We are looking for someone who has:
- A degree in urban planning or other education that the employer deems equivalent.
- Experience in coordinating project documentation within construction and infrastructure projects.
- Work experience from design or project work.
- Good knowledge of Swedish and English, both in speech and writing.
- Good knowledge of the Microsoft Office package.
It is meritorious if you have:
- Experience with digital project management.
- Experience with project handover to the receiving organization.
- Experience working as a quality handler, reception coordinator, or similar.
As a person, you are self-reliant, structured, and take initiative to drive the work forward. You have an analytical approach and a holistic perspective that helps you see connections and make well-founded decisions. Since the role involves many contact points, you are collaboration-oriented and build good relationships, both internally and externally. You are flexible and can adapt when conditions change, while taking responsibility for carrying out the work with high quality and good order.
