Job Responsibilities
As an Exam Coordinator, you will work within the centralized exam coordination, which is one of six functions within the Study Administrative Unit. This recruitment covers two positions, one based in Västerås and the other in Eskilstuna.
As an Exam Coordinator, you will contribute to a legally secure process for conducting written exams and ensure, together with your colleagues, that daily operations run smoothly. The role is built on close collaboration with shared responsibility to ensure operations function, providing support where needed.
The work requires both meticulousness and well-developed skills in prioritization, collaboration, and communication. Workload varies throughout the academic year, with five exam periods being particularly intense with many deadlines.
The nature of the work requires flexibility in working hours, as you must be available for exam supervision duties before and during exam sessions. While most work occurs during regular office hours on weekdays, written exams also take place in the evenings and on Saturdays.
As the department's internal structure is strengthened and developed, the tasks within exam coordination will continue to evolve and change.
The role includes, among other things, the following responsibilities:
- Exam planning, including booking venues and exam supervisors
- Supervision and support for exam supervisors in daily work
- Leading supervisor meetings and conducting training for exam supervisors
- Managing orders for written exam sessions
- Scanning graded exams
- Handling and preparing computers for written exams
- Managing unexpected situations according to current guidelines and procedures, and answering related questions
- Performing system administrative tasks, conducting system training, and providing system support
Qualifications
We are looking for someone who has:
- A university degree or other post-secondary education deemed relevant by the employer
- Very good knowledge of Swedish and English, both written and spoken
- Experience in personnel planning and team leadership
- Experience in training and scheduling personnel
- Experience working independently and in groups towards set goals with short deadlines, with a proactive approach
- Good computer skills and interest in working with IT systems such as Ladok and Inspera
- Experience in administrative work
- Proficiency in Excel, Word, PowerPoint, and Teams
- Experience speaking to large groups
