RESPONSIBILITIES

We are looking for someone who thrives in a varied role with many points of contact and clear personal responsibility. In this role, you will be responsible for the daily and long-term management of the municipality's vehicles, serving as our first line support for all vehicle-related matters, ensuring that issues are handled correctly, efficiently, and professionally. The primary responsibility is for the municipality's 10 pool cars at the municipal office, but you will also support other departments with their approximately 90 vehicles.

This is an operational role with significant responsibility. One day may involve supporting managers with vehicle issues, while the next may involve coordinating car exchanges, managing leasing vehicles, or following up on damages and costs.

You will be responsible for vehicle orders, sales, and communication with our various departments regarding routines, car exchanges, service, inspections, tire changes, and ensuring that the cars are clean, fueled, and in roadworthy condition. This also includes updating our systems and databases related to the vehicle fleet and maintaining routines for booking, pick-up, return, and damage management.

At the same time, you will work proactively to develop routines and processes that simplify everyday tasks and contribute to cost control.

The position belongs to our Internal Service function, where you will be part of the team. The main responsibility of Internal Service is to ensure that the daily work for all employees runs as smoothly as possible in our municipal office.

Within the Internal Service department, security mail is handled, which means that the position is security classified and requires an approved security clearance, including a security interview and background check.

QUALIFICATIONS

We are looking for someone who has:

• At least 2-3 years of experience in an administrative and coordinating role
• Experience working with many internal (and preferably external) contacts
• Basic competence in the Office365 suite
• Experience in fleet management or vehicle administration
• Experience with the vehicle management system Mawik is highly meritorious
• Experience working in Internal Service or as a janitor is meritorious

As a person, you have:

• Excellent ability to structure, prioritize, and manage multiple tasks
• Good communication skills in both spoken and written Swedish and English
• Service-oriented and unpretentious to adapt to the needs of the organization
• Resilience to stress
