FOI, the Total Defence Research Institute, is one of Europe’s leading institutes for applied research in defence and security. FOI is an authority under the Ministry of Defence and our mission is to conduct research, method and technology development, as well as investigations for total defence and in support of disarmament, non-proliferation and international security. Our activities are carried out on behalf of primarily the Government Offices, the Armed Forces, the Swedish Defence Materiel Administration (FMV), and the Swedish Civil Contingencies Agency (MSB). At FOI, we have about 1400 employees, of which over 1000 work directly with research and development. Our competencies span the entire field from natural sciences and technology to social and political sciences.

About the position

As an administrator at FOI, you will assist managers, project leaders, and employees with various administrative tasks and daily office services. You will have a central role and assist unit managers and research projects with planning, follow-up, coordination, and compilations. Information dissemination is also an important part of the work, some of which takes place via FOI's intranet. The work also includes preparing new employees' office space and introduction, as well as administrative and practical planning for frequently recurring courses, seminars, conferences, and external visits. Working in our various support systems is a natural part of your tasks.

About the unit

You will be part of the secretariat in one of our two departments - Electronic Warfare and Cyber Defence, which together develop and coordinate both processes and work within the administrative area. To ensure smooth operations, you will primarily work on-site.

Do you have the competence profile we need?

Requirements

  • High school diploma.
  • Several years of practical experience in administrative work.
  • Several years of experience supporting managers, project leaders, and a large number of employees.
  • Good computer skills and user competence in the Office suite.
  • Good knowledge of Swedish and ease of expression in both speech and writing.

As a person, you are structured, flexible, and efficient, and you willingly take on both simple and more advanced tasks. You have the ability to quickly grasp routines, rules, and processes. You should also find it easy to establish good contacts with all types of professionals, both internal and external.

Meritorious

  • Experience working in a project organization.
  • Experience in administrative work within a government agency.
  • Experience with administrative support systems, e.g., Agresso.

The position is a permanent employment that may begin with a six-month probationary period.
