Räddningstjänsten Syd is the fire service for the municipalities of Burlöv, Eslöv, Kävlinge, Lund, and Malmö. Our mission is to prevent accidents and to quickly and effectively carry out rescue operations of various kinds. Every day, our employees make efforts that affect the lives of others.

The position is located in our administrative function, which is part of the Operational Support unit. The unit's mission is to provide qualified and professional support to the management and operations so that the association can conduct effective and quality-assured activities.

JOB RESPONSIBILITIES

As Chief Registrar, you will have a central role in Räddningstjänsten Syd's handling of documents and the diary. The position involves an overarching and coordinating responsibility for the administrative function's support to various parts of the operations, as well as contributing qualified support in both simpler and more complex issues within the scope of the role. An important part of the work will also be to follow up on compliance with laws and the application of routines to ensure the quality of our work with document and information management.

Your tasks will include:

  • being part of the system management for Räddningstjänsten Syd's diary system.
  • managing and being responsible for the release of public documents and participating in confidentiality assessments.
  • having coordination responsibility for certain cases (e.g., referrals and surveys).
  • supporting colleagues in handling cases.
  • contributing to the work with Räddningstjänsten Syd's information management plan.
  • being responsible for and managing incoming mail and email, the diary, registration of documents, and some archive work.

You will also take a leading role in the ongoing work to streamline and modernize the organization's case management, where you will plan and develop work within registration and diary keeping. This may involve reviewing and actively working on the development of routines, processes, and digital tools, as well as planning and conducting training with both managers and employees within Räddningstjänsten Syd.

Your work will involve close collaboration with various parts of the operations and regular contacts across both unit and department boundaries. You will particularly collaborate closely with our IT function, staff, and management in matters concerning document and case management, digital tools, and information structure.

QUALIFICATIONS

We are looking for someone with an academic background in information and archive science or equivalent post-secondary education. This could be a vocational education as a certified registrar or other training that the employer deems relevant for the position.

You have a couple of years of experience as a registrar in public administration. If you have also worked as a chief registrar or in a corresponding coordinating role, this is an advantage.

You have a good understanding of public administration and the regulations governing archive and information management as well as public access and confidentiality legislation. You have good experience in supporting other functions and individuals in these matters.

You have very good knowledge of the Office suite and experience working with document and case management systems. Experience in project management and change management is a plus.

Since the position involves many internal and external contacts, it is important that you have good collaboration skills and the ability to provide service with a positive attitude. As the work involves handling both ongoing tasks and development work, it is a requirement that you have an understanding of both operational and strategic perspectives. You have good knowledge of Swedish and are comfortable expressing yourself in both speech and writing. To succeed in the role, you need to be able to independently structure and drive your work forward. The position also requires that you are proactive, able to initiate activities, and achieve results within given frameworks.

Since travel between our stations is required, you need to have a B driver's license.

OTHER

The position is located in Malmö at the fire station in the city center.
