We are a small but important municipal company with a great responsibility – we deliver clean water, manage sewage, and take care of waste in Sundbyberg city. About the position

We are in an exciting development phase – we have just implemented a new case management system. We are now looking for someone who wants to lead the work and create new structures and working methods around document management, case registration, and archive maintenance. You will play a key role in developing and improving routines for document management and ensuring that these comply with applicable laws and regulations. The role also involves acting as a data protection coordinator for GDPR within the company.

We are a company with about 50 employees, which means that the role of Document Controller also includes ongoing administrative tasks. You will work closely with the company's administrator, and together you will form a team responsible for ensuring that the routines for case registration, archive maintenance, and document management function in everyday life.

You will belong to the finance and administration unit, which consists of four dedicated employees.

Responsibilities

As a Document Controller, you will be responsible for leading and coordinating the work with case registration, archive maintenance, and document management. Your main tasks include:

  • Developing and improving routines for document management and ensuring that these comply with applicable laws and regulations
  • Quality assuring that the registration maintains a high quality and that documents are handled correctly and efficiently.
  • Conducting confidentiality assessments and managing confidential information.
  • Leading the work as a data protection coordinator for GDPR within the company.
  • Supporting and educating the organization on issues related to case registration, public access, and confidentiality as well as personal data processing
  • Acting as a systems specialist and chief registrar for the case management system W3D3.
  • Ensuring that governing documents are updated and functional, such as the company's process-based information management plan.
  • Managing the registration of documents, setting up cases, and contributing to other administrative support.

We are looking for you

To succeed in the role of Document Controller, you have:

  • A university degree in public administration, archival science, or another relevant field.
  • Experience working in the public sector, preferably in a municipal company, as a registrar, archivist, document controller, or equivalent.
  • Good knowledge of legislation regarding public access, confidentiality, and security protection.
  • The ability to express yourself well in Swedish, both orally and in writing.
  • A good understanding of our digital society and experience working in document and case management systems as well as digital archives.

It is an advantage if you have experience in process-oriented information reporting.

Personal qualities

To succeed in the role of Document Controller, it is important that you are self-driven and take responsibility for your tasks. You structure your approach and drive your processes forward, which is crucial for leading and coordinating the work with case registration and document management. Since the work involves collaboration with the company's administrator and other employees, as well as coordination with other functions in the municipal group and city archive, it is important to have good collaboration skills. You work well with others and relate to them in a responsive and smooth manner. Your specialist knowledge in document management and archive maintenance makes you a knowledge resource for others. Your clear communication ensures that the message gets through and that expectations are clear for all parties involved. This is crucial for providing support and training to employees regarding case registration, public access, and confidentiality as well as personal data processing (GDPR).

We are a municipal company responsible for delivering drinking water, managing sewage, and taking care of municipal waste with the goal of improving service for residents and stakeholders in Sundbyberg city.

The company thus has an important and active role in contributing to sustainable development in the city. The responsibility includes constructing, owning, managing, and maintaining all the city's water and waste-related facilities, such as pumping stations, pipelines, and stationary vacuum systems. The company has its own operational organization that performs everything from meter changes to renovations in-house.
