Educational Administrator for the Education Support Unit

At the Area Office for Medicine and Pharmacy, we provide support and services to students, management, researchers, teachers, technical and administrative staff, as well as others working in the field of medicine and pharmacy.

We also provide support and services to all committees within the scientific area.

The Area Office is part of the university administration but receives most of its assignments through the area board and the vice-rector of the scientific area. The Area Office has about 70 employees and is divided into five units.

We need to temporarily hire an educational administrator for the Education Support Unit. The unit consists of 15 people, and our mission is to provide administrative support and services to committees, vice-deans, chairs, program managers, and departments regarding education at the undergraduate, advanced, and doctoral levels, as well as the internationalization of education. We work on-site in modern facilities with our own workplaces in Segerstedthuset in central Uppsala.

Job Responsibilities

As an educational administrator, you will handle program-specific educational issues within the medical and/or pharmaceutical faculties. Central tasks include budget work, financial monitoring for educational programs, contract administration, investigations, and methodological and quality issues. The work also involves continuously scheduling meetings, preparing invitations, preparing materials for decisions, being responsible for minutes, and following up on decisions and matters. As an educational administrator, you will coordinate the work with the program's educational evaluations. You will also work with educational and course plans in the university's study administrative systems and perform program-related educational administration. If applicable, you will prepare and handle complicated student matters. The work is done in close collaboration with colleagues at the office as well as with the vice-dean, committee chairs, program managers, study directors, heads of departments, course administrators, and economists. Collaboration also takes place with external partners.

Within the employment, you will also work as support for the entire scientific area. You may work with cross-area committees and working groups. You may also be the responsible administrator for matters and tasks that occur at the Area Office, such as referrals, investigations, and methodological and quality work.

Qualifications

  • Degree from higher education or equivalent
  • Good ability for clear and factual communication in speech and writing in Swedish and English
  • Experience of qualified administrative work at a government authority or equivalent
  • Familiarity with working in Excel
  • Experience in budgeting and financial monitoring.

Great emphasis will be placed on personal suitability. To succeed in the tasks, you need to be communicative, clear, factual, and professional. You have the ability to collaborate successfully, can create good relationships while maintaining personal integrity. It is important that you are stable and service-oriented. The work places high demands on independence, accuracy, flexibility, and a structured approach where you organize and prioritize work effectively. Likewise, the ability to work under peak periods and handle multiple matters simultaneously is required.

Desirable/meritorious

  • Knowledge of the higher education sector, preferably within medicine and pharmacy, such as legislation, educational financing, monitoring, and evaluation
  • Experience working with study administrative data systems
  • Knowledge of drafting and renewing contracts
  • Experience in quality, methodology, and development work
  • Experience in educational administration at universities and colleges
  • Experience in providing operational support and services.

About the Employment

The employment is temporary, for 12 months. The extent is full-time. Start date according to agreement. Place of employment: Uppsala.
