We are looking for someone who wants to work with helping the public, various organizations, and researchers find the information they need.
Are you driven by making information accessible through efficient and good service? Then this could be the right position for you!
About us
The Regional Archive is the archival authority of Region Stockholm and is responsible for the governance and follow-up of the region's information management. Our mission also includes long-term storage, care, and making the region's archives accessible for use by the region's operations, other authorities, the public, and for research today and in the future.
The Regional Archive is a department within the Culture Administration of Region Stockholm. The department consists of the units of Information Management and Supervision, Archive and Information Management, and Response.
Region Stockholm is one of the largest authorities in the country, and the region's operations generate large amounts of information every day that needs to be archived. In the coming years, the resources of the operations will be redirected towards digital information management, and the analog archives will consequently be handed over to the Regional Archive. To grow and succeed in our mission, we are now looking for two new colleagues for the Response unit.
About the position
In the Response unit, we work with providing public documents from the archives stored at the Regional Archive. Together, we help the users of the archives find the right documents or information in hundreds of cases each week.
With us, you will work on searching for and providing public documents from archives that span from the past to the present. One day we search in ledgers from the 1800s, and the next day we search in our e-archive with archival information from the 2000s. The majority of users are searching for their own or their relatives' medical records. Since medical records are confidential, you will conduct confidentiality assessments and evaluate sensitive information about individuals' health conditions or other personal circumstances.
In addition to searching for and providing documents and information from the archives, you will work in our reception team. There, you will receive and register all new requests, answer questions, and guide users correctly in our archives or to other archives and organizations when the documents are not available with us. You will have daily contact with the users of the archives via phone, mail, and email, as well as during visits to the research room.
This is a job for you who enjoy providing good service and helping the users of the archives in the best possible way.
Who are you?
As a person, you have a customer-oriented approach and can easily adapt your response to the different people you meet in your work. You are self-driven, used to moving your own cases forward while being structured and meticulous. You solve your tasks through your good ability to prioritize and organize your workday efficiently. Since we collaborate to staff roles in the reception team, you also need to have excellent teamwork skills, be able to work effectively in a fast-paced environment, and have the ability to adapt quickly to changes.
To succeed in the mission, we see that you have a university education that includes at least two semesters of archival science. You have experience in providing public documents. You have also worked in a role with customer contacts and have good references from that type of work. You can express yourself well in both spoken and written Swedish and English.
It is advantageous if you have worked with confidentiality assessments and evaluations of medical records. It is also advantageous if you have experience in providing digital information from an e-archive.
We are keen to find the right person and therefore place great importance on personal qualities.
Our offer
We have a collective agreement, which includes collective insurance, occupational pension, and the possibility of salary exchange. To help you take responsibility for your health, we offer wellness hours and wellness grants, as well as subsidized healthcare in the form of free outpatient care. We have flexible working hours to help you balance your everyday life. Here you can read more about the benefits in our collective agreement.
The Culture Administration is located in two different places, with most of us sitting in newly renovated premises centrally at Södermalmsallén by Medborgarplatsen. The Regional Archive department is located in spacious premises in Flemingsberg with access to its own gym.
Application
If this sounds like something for you, we would like you to apply as soon as possible. For a complete application, it is sufficient to attach your CV. When you apply, you will be asked to answer a number of questions, which will replace a personal letter.
If you have questions about the position, please feel free to contact Veronika Lövgren at phone number 08-123 188 28.
