Swedavia is now looking for a Purchasing Coordinator for Stockholm Arlanda Airport. The assignment is an important part of Swedavia's extensive development of Terminal 5 and involves close collaboration with the program coordinator, project managers, and project controllers across several parallel projects. The role is program-wide and focuses on ensuring efficient ordering and purchasing processes, as well as quality-assured handling of invoices, requisitions, and financial administration. Through a structured approach, the purchasing coordinator contributes to good financial follow-up, high administrative quality, and effective support for the program's various projects.
About the assignment
The program is in an intensive development phase with several large sub-projects running in parallel, which places high demands on structure, coordination, and efficient administrative handling.
As a consultant, you will have an important and supporting role in a complex project organization where you work closely with the program coordinator, project managers, and project controllers. The role focuses on ensuring a well-functioning ordering process through the handling of invoices, requisitions, and purchasing documentation, as well as monitoring consultant costs. You contribute to high quality in financial administration and create good conditions for the program's continued development. The assignment is carried out in an experienced and well-functioning project organization with an open collaborative climate and a strong focus on quality, service, and delivery.
In the role, you are responsible for:
- Managing the program's invoice flow, including accounting and ensuring correct approval workflows.
- Checking, completing, and attaching invoice documentation, such as daily logs and other documentation.
- Serving as the reference person for incoming invoices and ensuring they are handled according to the program's financial structure.
- Following up that project managers review and approve invoices and accompanying documentation in a timely manner.
- Handling purchasing and requisition documentation in accordance with current routines and processes.
- Monitoring costs incurred related to consultant requisitions and ensuring correct financial follow-up.
- Compiling purchasing reports and contributing to a consolidated overview of the program's consultant purchases.
- Providing administrative support to the program coordinator, project managers, and project controllers in matters related to purchasing and finance.
- Contributing to structure, quality, and an efficient administrative working method within the program.
- Working in Microsoft Office and, if necessary, in business systems such as IFS.
The work is primarily carried out at Stockholm Arlanda Airport and requires on-site presence for approximately 80% of working hours. The assignment begins with an extent of approximately 50% during autumn 2026 and is expected to transition to full-time thereafter. The assignment runs until 2028-09-30 with the possibility of extension.
About you
To succeed in the assignment, we see that you have:
- At least 5 years of administrative experience, for example as a financial assistant or administrator.
- Previous experience with invoice handling and requisition management.
- Good familiarity with working with financial administration and administrative processes.
- Very good knowledge of Microsoft Office, especially Excel, Word, and Outlook.
- Experience with business and/or project systems is meritorious. Experience with IFS is particularly meritorious.
- Good communication skills in Swedish, both spoken and written.
- Ability to work independently, structured, and with great attention to detail.
- A service-oriented work approach and good collaboration skills in a project-oriented organization.
