The Authority for Family Law and Parental Support (MFoF) is now seeking an archivist who wants to help convey knowledge so that children can have a safe upbringing and good relationships with their parents.

The Authority for Family Law and Parental Support is a knowledge authority under the Ministry of Social Affairs responsible for parental support, family counseling, and family law under the municipal social boards. The authority also works to ensure that international adoptions of children to Sweden occur in accordance with the law and in an ethically acceptable manner, and has the task of providing support to internationally adopted individuals in connection with origin searches. The authority's target groups are professionals and decision-makers in municipalities, regions, and civil society, as well as increasingly families and individuals.

In all our activities, we promote children's rights as expressed in the Convention on the Rights of the Child. In 2022, MFoF also became Sweden's first LGBTQI-certified authority.

MFoF offers a socially important and engaging job in an interesting and dynamic workplace. We are now looking for an archivist for the department of operational support.

Responsibilities and tasks

As an archivist at MFoF, you will work with colleagues to ensure and further develop the authority's information management. In the role of archivist, you are responsible for the authority's archives, ensuring that documents are preserved, organized, and maintained in accordance with legislation. This means that you will work on quality assurance of the information process from handling incoming documents to archiving documents of various formats. You will also register incoming cases in the absence of the registrar, and support and educate the organization on issues related to information management.

The position is both operational and strategic, where in addition to handling ongoing work, you will also analyze development needs and establish governing documents in the area. You will work in the authority's department of operational support and report to the department head. The position of archivist already exists at MFoF, and the recruitment represents an expansion to handle incoming documents, conduct development work in the area, and facilitate the transfer of competence from the current archivist. You will also work closely with the authority's registrar and administration and be an important support to the organization in digitization and process efficiency.

The tasks include, among others:

  • Ensuring correct handling of incoming and established cases as well as updating the classification structure and document management plan.
  • Working with registration and case management systems as needed.
  • Translating the National Archives' regulations into the authority's operations and developing routines and working methods within the area of responsibility.
  • Being responsible for and continuously working with the authority's archival reporting for both physical and digital documents.
  • Handling the release of archived documents.
  • Drafting proposals and producing relevant governing documents and application instructions.
  • Being the contact person for inspections within the area of responsibility.
  • Initiating and driving development within the area of responsibility, e.g., the introduction of e-archives, processes for transferring to the National Archives, and making public documents accessible.
  • Continuously monitoring the external environment within the area of responsibility to strengthen the authority's ability to adapt to changes.

The position involves both independent work and conducting and driving work together with others. With the support of the archivist's expertise, good internal collaborations, and knowledge sharing with other authorities, the authority develops its information management. MFoF is a small authority, and the role requires flexibility and an interest in working with various forms of tasks, and that you are active and contribute to ongoing improvement work.

Qualifications

We are looking for someone who has:

  • A university degree in archival science, information science, library science, or another education that the employer deems equivalent.
  • Good knowledge of legislation and regulations governing authorities' handling of documents.
  • Good ability to handle digital systems.
  • Very good knowledge of Swedish.

It is meritorious if you have:

  • Experience working as an archivist or registrar in public administration.
  • Experience as an archivist in a government agency.
  • Experience in independently drafting governing documents in the area.
  • Experience working in case management systems.
  • Experience in organization and cataloging work.
  • Good knowledge of English.

The employment

The employment is a permanent full-time position with a start date to be agreed upon. A six-month probationary period applies. The place of employment is Skellefteå, with the possibility of signing an individual agreement on remote work based on MFoF's guidelines for remote work.
