Maintenance Coordinator at 2. Contract Section – Fixed-term Contract

In the role of Maintenance Coordinator (VMH Coordinator), you will handle procurement within the command and control systems area.

FMTIS Technical and Maintenance Office for Command and Control Systems (TVK Ledsyst) is primarily located in Enköping and is functionally led by the Swedish Armed Forces (SwAF) Headquarters. The unit's main task is to take responsibility for SwAF's command and control support systems throughout their entire lifecycle, from requirement definition to decommissioning, during both peace, crisis, and war.

The position of VMH Coordinator at TVK Ledsyst is part of the 2. Contract Section, located in Enköping. We are currently seeking a substitute to cover for parental leave. As a VMH Coordinator, you will work in the procurement class "advanced procurer," which involves making calls against agreements concluded by the SwAF or the Swedish Defence Materiel Administration (FMV) with one or more suppliers on behalf of the SwAF.

Main Responsibilities

  • Handle acquisition and follow-up of contracts and orders.
  • Request and check quotations when valid agreements are in place.
  • Perform direct procurements up to 100,000 SEK.
  • Review incoming order documentation/checklists, including associated contracts and commitment plans.
  • Handle invoice discrepancies regarding price and quantity.
  • Execute value transfers between SwAF and FMV.
  • Register purchases in the purchase register.
  • Conduct invoice and delivery follow-ups.
  • Participate in the development of maintenance work processes and report errors to FST SUPPORT.
  • Keep up-to-date with current procurement regulations and internal guidelines.

Requirements / Qualifications

  • Relevant education in e.g., IT/Technology, Economics, Procurement, or Logistics, or experience deemed equivalent by the employer.
  • Several years of experience in administrative tasks.
  • Very good oral and written proficiency in Swedish and English.

Meritorious

  • Experience working in a government agency.
  • Experience in invoice processing.
  • Experience in procurement-related tasks.
  • Experience with procurement in SwAF's business system PRIO (SAP).

Individual salary setting applies within the framework of the salary target set by the SwAF for the position.
