LetsGig is looking for a very senior staff manager/project-supporting leader for a long-term consulting assignment within major urban development and societal construction projects in the Stockholm area.

This is a full-time assignment. The assignment is long-term and runs preliminarily until 2030-08-31, with a start date to be agreed upon.

About the role

We are looking for someone who can take overall responsibility for leading, coordinating, and further developing a project staff team in large and complex societal construction projects.

This role suits you if you are confident in leadership-adjacent work, accustomed to creating structure in large project organizations, and able to coordinate specialists across various fields. You will work closely with project management, planning functions, and execution functions.

You must be able to drive order, quality, coordination, and progress in project environments where many functions, stakeholders, and parallel workflows need to work together.

Examples of tasks

  • Lead, specify requirements for, and coordinate the work in the project staff.
  • Coordinate resources and functions within areas such as finance, risk, occupational health and safety, procurement/purchasing, scheduling, milestone planning, data coordination, document management, and administration.
  • Develop and improve working methods, processes, routines, and governing documents.
  • Contribute to quality assurance and quality development in the daily work of the projects.
  • Ensure a functioning project office structure, document flows, information management, and common working methods.
  • Support project management and the leadership group with structure, follow-up, prioritization, and coordination.
  • Contribute to effective collaboration between internal functions, specialists, consultants, and other project stakeholders.
  • Participate in the planning, follow-up, and handling of risks, changes, and critical events.

Workplace and scope

The assignment is performed primarily on-site in the Stockholm area.

The work week is normally distributed as follows:

  • Two days per week at a project office in the Stockholm area.
  • Two days per week at another project office in the Stockholm area.
  • One day per week can normally be performed from another agreed-upon location.

There may be meetings, site visits, and coordination with various project functions within the Stockholm area.

Travel within the Stockholm area, own computer equipment, and mobile phone are expected to be included in the consultant's setup.

Requirements

  • You must have relevant academic education for the content of the assignment, for example within societal construction, construction/civil engineering, project management, industrial economics, organization, technology, or another related field.
  • You must have documented experience in personnel leadership, staff leadership, or coordinating functions in larger project organizations.
  • You must have documented experience in quality development, process development, business development, or the development of working methods/routines in larger projects.
  • You must have extensive experience coordinating multiple functions, specialists, or technical areas in complex projects.
  • You must have experience from construction and civil engineering operations, societal construction, infrastructure, urban development, or another comparable project environment.
  • You must have very good proficiency in the Office suite or equivalent tools, especially Word, Excel, PowerPoint, and Outlook.
  • You must be able to express yourself very well in Swedish, both orally and in writing.
  • You must be able to work on-site in the Stockholm area according to the assignment's setup.
  • You must be able to present a clear CV where the above requirements are evident.

Highly meritorious experience

  • Experience of leadership group work in larger projects.
  • Experience of project offices, PMO, project control, or staff functions in large construction, civil engineering, infrastructure, or urban development projects.
  • Experience from the public sector, municipal operations, region, authority, or politically governed organization.
  • Experience of document control, information management, data rooms, project databases, or structured project administration.
  • Experience of introducing or improving routines, processes, and working methods in large project environments.
  • Experience of working closely with project directors, program managers, steering groups, or equivalent senior client organizations.
  • Experience of risk management, scheduling, financial follow-up, occupational health and safety issues, or cross-functional coordination.
  • Experience of giving presentations, leading workshops, and building trust with senior decision-makers.
  • Experience of ISO-based quality or environmental management work is meritorious.

Personal qualities

  • You are structured, clear, and confident in senior contexts.
  • You can create order in complex project environments without losing momentum.
  • You are communicative and can get different functions to work towards the same goal.
  • You are used to driving issues forward even when responsibilities, mandates, and interfaces need to be clarified.
  • You are unpretentious but have enough integrity to set requirements, follow up, and speak up when necessary.
  • You have high analytical ability and can quickly understand project logic, organization, risks, and dependencies.
  • You are accustomed to documenting, structuring, and presenting work in a professional manner.
