Lease Agreement Administrator

The Swedish Prison and Probation Service is growing – we are building new, renovating, and expanding, and we are now looking for more employees. We are the authority responsible for prisons, probation, remand, and client transport.

The Management Unit is part of the Property Department of the Swedish Prison and Probation Service. The unit consists of two sections focused on management related to existing operations and a contract group responsible for the authority's overall portfolio regarding lease agreements. Currently, the unit has about thirty employees who collectively manage a complex assignment concerning all facilities of the Swedish Prison and Probation Service.

JOB DESCRIPTION

As a lease agreement administrator, you will have a varied role and become a key player in our team. You will work with the management and administration of the authority's lease agreements, primarily alongside lease agreement specialists and other administrators. You will also collaborate with project managers and management leaders, providing support in various contractual matters. Ongoing cooperation will also occur with the property owners from whom the Swedish Prison and Probation Service rents.

In the role of administrator, you will be responsible for receiving quotes, contract drafts, and finalized agreements. You will ensure the signing of agreements, register them in the property system Pythagoras, and manage archiving. Additionally, you will be responsible for preparations, meaning you will organize which cases should be prepared and take notes. Furthermore, you will review rental invoices, prepare documentation for changes in terms and terminations, liaise with the rent tribunal, and report new agreements and contractual changes to the Swedish Financial Management Authority. You will also administer and follow up on project guarantees and final settlements.

We are looking for someone who has:

• A degree in real estate or other education combined with experience deemed relevant by the Swedish Prison and Probation Service
• Experience in the real estate industry with similar tasks
• Experience in contract management
• Knowledge of rental law and contractual matters
• Very good knowledge of handling various types of system support such as Pythagoras
• Very good knowledge of the Office suite
• Very good ability to express yourself in both spoken and written Swedish

It is an advantage if you have:

• Experience in local supply within public operations
