Administrator for the Transport Unit in Eskilstuna Municipality

The Transport Unit within Eskilstuna Municipality is now looking for an administrator who wants to work broadly with administration, customer contact, and the development of sustainable transport solutions.

The Transport Unit is responsible for coordinating and administering the municipality's transport solutions. This includes travel orders, vehicle bookings, and associated administrative processes.

We ensure that the municipality's operations have cost-effective, purposeful, and sustainable transport – every day. Right now, we are in a development phase where digitization, efficiency, and environmental work are important parts of our mission.

We are a team of 17 people who work closely together in our daily tasks. This means that you may need to cover for colleagues when necessary, both during planned and unplanned absences. We value collaboration, responsibility, and a good service spirit.

RESPONSIBILITIES

As an administrator, you will be responsible for administrative tasks related to the municipality's transport solutions. You will work systematically in various administrative systems and ensure that the work is carried out in accordance with applicable governing documents and guidelines. Your main tasks will include managing travel orders and coordinating transport solutions. Since we collaborate closely in the team, this may also involve administering vehicle bookings in digital booking systems, working with invoicing and financial administration, handling insurance matters, and managing cases and customer contacts.

In this role, you will also be a customer receiver, which means you will greet, answer calls, and provide administrative support in invoicing and bookings for service and repairs at workshops. You will have contact with employees within the Eskilstuna municipal group, car workshops, and insurance companies. We are in a development phase and are continuously working to strengthen our efforts to deliver sustainable transport. You will have the opportunity to contribute to this work, develop it, and think broadly to improve our efforts for a better environment. In this role, you will also participate in a reference group for procurement and contribute your expertise on important issues.

QUALIFICATIONS

We are looking for someone with a high school education and documented experience in qualified administrative work. You should have good general IT skills and be quick to learn new systems. We also want you to have experience working in administrative systems, booking systems, and financial tools. You should also have experience in case management and customer contacts. A B driver's license is also a requirement for the position.

It is an advantage if you have experience interpreting governing documents and working with cost- and environmentally effective solutions. If you have experience in transport, vehicle, or logistics administration, that is also a plus.

We are looking for someone who is service-oriented, solution-focused, and confident in interactions with others. You enjoy daily customer contact and find it easy to build trust. You are structured and meticulous, while also being flexible and able to adapt when circumstances change. You work independently but actively contribute to good teamwork.
