W5 Solutions is a Swedish technology company that develops and delivers advanced systems and solutions to the defense and security sector. We are now looking for an Order Administrator / Purchasing Assistant for a full-time position focused on order administration and purchasing support at our office in Solna.

About the role

The role is operational and administrative in nature and involves working according to established routines and instructions. You will be responsible for ensuring that purchase orders, delivery follow-ups, and system administration are handled correctly and structured in the daily flow.

Responsibilities

• Conduct purchases according to given instructions and purchasing documents
• Create and manage purchase orders in Monitor ERP
• Follow up order confirmations from suppliers
• Work with delivery monitoring and updating delivery dates
• Update and maintain articles, registers, and supplier data in Monitor
• Handle administrative discrepancies and support the purchasing function in ongoing work

Requirements

• Practical experience working in Monitor ERP (required)
• Experience in order administration, purchasing assistance, or a similar administrative role
• Good structure, accuracy, and administrative skills
• Good knowledge of Swedish and English, both spoken and written

Meritorious

• Experience from manufacturing, technology, or electronics companies
• Understanding of material flows, delivery follow-ups, and order processes
