ISS has an exciting collaboration with a customer in the automotive industry that has locations in several areas of Sweden. We are now looking for an engaged and service-oriented Coordinator for the Visitor and Conference Center at the site in Köping. About the Role
As a Coordinator, you will play a very important role in ensuring a warm welcome and professional reception. We are looking for someone who is dedicated and action-oriented. You are structured and organized – this way you feel secure and prepared for the day's events. You are attentive and observant and have an eye for what needs to be done.
Your task is to ensure that service delivery runs smoothly and to create a pleasant and well-functioning working environment for both visitors and employees at the site. Your workday offers a variety of tasks, which is why we are looking for someone who is unpretentious and willing to take responsibility for the entire operation and who appreciates a varied job. Through engaged and warm hospitality, the Visitor and Conference Center welcomes and guides visitors and employees so that they feel seen and welcomed – this is to strengthen the customer's brand. Employment rate – approx. 50%
Your tasks include, among others:
- Welcoming visitors, registering them and any vehicle. Informing about applicable safety regulations if the visit includes a tour of the production.
- Keeping the reception welcoming, updated, and interesting for visitors.
- Receiving internal and external trainers and helping them settle into the conference room.
- Ordering, receiving, and setting up snacks/lunch for visiting groups in the conference center.
- Driving and developing the visitor operations, including guides, informational materials, and equipment.
- Managing visitor inquiries via the external website.
- Arranging and acting as host at events - meetings, fairs, exhibitions, etc.
- Responsible for operations, ongoing updates of the assortment, and the visually creative in the Merchandise Shop.
- AV support for the auditorium and studio.
- Photography of staff in the studio.
- Support for materials for information screens.
- Ongoing updates on social media.
- Support for sponsorship activities - administering match tickets and similar.
- Mail handling.
- Management of pool car keys.
Who are we looking for?
We are looking for someone who enjoys working in service and is attentive to customer wishes. You take great responsibility for your work with a good overview of your area of responsibility. You are driven to continuously develop the delivery and come up with improvement suggestions. You are natural in the role of company representative and share ISS's desire to deliver world-class service. This means that you should have a high level of service and easily create good relationships with customers, visitors, and employees alike. The work is carried out both individually and in groups, so it is important that you can work independently and have good collaboration skills. It is important that you are outgoing and unpretentious and can also help with other tasks beyond your usual responsibilities when needed. Your communication skills are good, and you can communicate fluently in both Swedish and English – in both speech and writing. You have at least a high school education, are an efficient administrator, and have good IT skills and system familiarity. Education and experience in the communications field is a merit.
