Administrative Exam Supervisor at Exam Services

The Property Department is responsible for the strategic planning of the university's 300,000 square meters of space and over 600 residences, as well as providing service functions to support the university's core activities.

One of these service functions is the university's central exam coordination, Exam Services.

The main mission of Exam Services is to offer support to the university's departments and programs by coordinating, preparing, and conducting examinations in a legally secure and efficient manner. In 2025, Exam Services is expected to manage approximately 125,000 examinations distributed over about 2,500 exams and 200 exam days.

The work at Exam Services is currently performed by four exam coordinators, six exam administrators, five coordinating exam supervisors, and more than 100 temporary exam supervisors who staff the exam rooms during exam periods.

Job Responsibilities

As an administrative exam supervisor, you will play an important coordinating role for other exam supervisors during exam periods, linking the work of the temporary exam supervisors in the exam rooms with the rest of the exam administration. In practice, this means you will work on practical preparations for exam periods, such as managing logistics for rooms, correcting staffing schedules, and supporting adapted examinations. You will also work on handing over materials to exam supervisors before their work. You will respond to questions about ongoing exams and solve problems that arise during exam periods. You will work in various administrative IT systems and manage computers and software for both computer-based and adapted examinations.

Since written exams are usually given at the end of a course, the pace and workload will vary. During certain periods, you will work at a higher pace and against relatively short deadlines. In other periods, it will be calmer, and focus can be placed on long-term work, such as reviewing routines and processes.

The work is performed during scheduled working hours, and since exam periods at Stockholm University take place both day and evening on weekdays and weekends, the working hours will also involve some evening and weekend work. You will mainly be scheduled during peak periods.

Qualifications

We are looking for someone who has:

  • experience in service-oriented work, for example, from examination, conference, or hotel operations, or experience that the employer deems equivalent
  • good ability to express yourself verbally and in writing in both Swedish and English
  • good computer skills and system understanding, and can easily familiarize yourself with new systems.

Meritorious are:

  • experience in administrative work
  • experience working under time pressure
  • experience with the examination tool Inspera
  • experience working with people with disabilities and/or pedagogical support
  • experience with examination components.

  • have high integrity and the ability to intervene in case of suspected violations of exam rules
  • are flexible, meticulous, and punctual
  • are calm and decisive even in stressful situations.

About the Employment

The position is part-time 60% and is permanent with a six-month probationary period. Stockholm University applies individual salary setting. Start date according to agreement.
