JOB RESPONSIBILITIES
As our current administrator is retiring, we are now looking for their successor. Are you an administrator to the core? Are you skilled in statistics, reviewing numbers, and registering client cases? In your role as an administrator, your main task will be to register and follow up on client cases together with the caseworkers and some documentation in our operational system, Treserva. You will register decisions regarding the children placed in foster homes. You will also work with the management of contracts and financial documentation regarding placements, emergency placements, and reviewing payments of fees. You will work in our invoicing system where you will gather information about what the invoice pertains to and ensure the invoice before posting. Execute payments to contractors according to the fee module and document the payment; this requires great accuracy from you. Report to IVO, the Health and Social Care Inspectorate.
Your tasks will involve controlling and organizing the organization's archive, both digital and physical documents. The tasks are adaptable and flexible based on the organization's needs. Various types of office tasks such as handling documentation from the Social Services, requesting extracts from registers, control and documentation, various mailings to contractors, managing different lists, etc., will also occur.
You will provide administrative support in the processing and decision-making processes to the caseworkers and also provide managerial support. Assist in gathering data and producing statistics from various programs and present them clearly and pedagogically. Be responsible for the organization's functional mailbox in Artvise and book travel. The role includes taking meeting notes and assisting with meeting bookings and cancellations. Support and collaborate with the administrator in the Foster Home Unit, Support, and cover for absences. You will participate in the organization's APT and various planning sessions. You are the cog in the wheel of our organization, and you are an important person to us.
QUALIFICATIONS
We are looking for someone who has a completed high school education in administration or economics or another education combined with experience that the employer deems equivalent. You should have very good IT skills in Office365, primarily in Excel, PowerPoint, and Word.
You should have worked as an administrator within Social Services for at least one year and be familiar with the operational system Treserva. Previous experience in invoice management is required. Good knowledge of the Swedish language in speaking, writing, and reading comprehension.
It is advantageous for the position if you can produce statistics from Power BI and Treserva and present statistics in a pedagogical and clear manner. Also, if you are familiar with the systems Artvise, Preccedo, Outlook, and Teams. It is desirable if you have previously handled documentation for payments to contractors and clients and have experience reporting to IVO.
Since this position as an administrator means that you are the cog in the wheel of our organization, you must be able to write clearly, concisely, and well-structured, and have the ability to adapt your texts according to the intended audience. You are skilled at planning and organizing your work. You easily set goals, organize resources, follow up, and complete activities. You can calculate and easily see if a calculation looks incorrect.
You have the ability to see what needs to be prioritized, are efficient, and use resources to achieve results in the best possible way. You find it easy to collaborate with others and be helpful and have an unpretentious attitude in your collaboration. You are alert and solution-oriented, with the ability to find alternative solutions to emerging problems.
