Job Description
In the role of Archivist, you are responsible for ensuring the legally secure and efficient handling of the university's information in accordance with current legislation and internal guidelines. The work includes both operational and development-oriented tasks within information and archive management. You provide support to the operations in diary registration and archiving, and support registrars in operational registration work if needed, for example during absence or high workload.
Furthermore, you work on developing and maintaining classification structures and document management plans, and participate in process-based information mapping in collaboration with the operations. You are also responsible for creating and revising retention and disposal plans.
The role includes managing archive holdings, carrying out disposal, and deliveries to the electronic archive. You contribute to developing and improving routines and methods for information management and participate in digital information governance work. An important part of the assignment is to educate and guide employees and managers in matters concerning archive and information management.
The role also includes being the system administrator for the authority's diary registration system, which entails responsibility for the administration, development, and quality assurance of the system's functionality and use in operations.
Qualifications
We are looking for you who have:
- Relevant higher education in archive and information science (at least 60 credits) or equivalent as assessed by the employer
- Previous experience with:
- Operation-based archive reporting
- Classification structures
- Document management plans/information management plans
- Current legislation in the field (Archive Act, OSL, TF, GDPR)
- Work with diary registration and document management
- Disposal and retention
You have the ability to translate regulations into practical and operation-oriented routines, as well as to support both operations and managers in daily work. You work both operationally and developmentally and can switch between these perspectives. Furthermore, you have good ability to communicate in a pedagogical and clear manner and to adapt your message to different target groups.
Meritorious
For this position, it is meritorious to have experience with:
- Process-based information mapping
- Work with electronic archives
- Creating retention and disposal plans
- Work at a state authority or university
- Having worked in diary registration systems (e.g., Public 360 or W3D3)
- System administration
