About the Organization

As an operations coordinator, you will work with both the Outer Operations Unit and the Outer Operations Unit of Greater Gothenburg.

The role involves varied and developing work where you are an important part of ensuring operations and service for our properties.

Regardless of the location determined, the work will primarily be performed from Högsbo and Uddevalla. Therefore, you need to have the ability to work at both locations.

About the Job

The operations units are responsible for operations, supervision and maintenance, corrective maintenance, and customer service. Among our properties are Folk High Schools, Nature Schools, the Botanical Garden, the Region House in Gothenburg, the Laundry in Alingsås, the Cultural Warehouse, and the Vitlycke Museum.

We also perform service-related tasks in the region's external rentals, are responsible for technical security systems (TSA), and have sterile technical assignments towards Närhälsan and Regionhälsan. Additionally, we are responsible for the maintenance and corrective maintenance of parking machines and signs.

As an operations coordinator, you will work for both units. The role is varied and combines administrative and coordinating tasks. You will be a key person in ensuring efficient operations and high service quality.

You have a holistic view of operations and collaborate with other areas within Västfastigheter. This means weighing different perspectives to achieve the goals of operations. You support the operations managers in daily work, including personnel planning, approving leave, and approving work orders. If necessary, you can act as the deputy operations manager. Travel within the region occurs.

Examples of Tasks:

• Manage purchases of equipment investments and apply for direct procurements
• Review invoices before approval according to the established flow
• Approve and cancel work orders (AO) via delegation from the operations manager
• Ensure that tasks on the monitoring list are performed and prioritize and distribute AO
• Coordinate on-call duty and handle current on-call issues
• Follow up on “Secure Operations”, AO, production rate, and supervision and maintenance planning
• Participate in budget and forecasting work
• Manage vacation and leave planning and approve leave requests
• Coordinate LIA interns, students, and summer substitutes
• Plan and coordinate training initiatives for staff
• Ensure that safety rounds are conducted on behalf of the operations manager
• Participate in continuity work and handle MedControl matters
• Take minutes at meetings

About You

We are looking for someone with at least a high school diploma supplemented with a vocational education in construction, operations and maintenance, or property management/administration. Alternatively, you have another education that, together with relevant experience in the field, is considered equivalent. You have several years of work experience in property operations or property management, are proficient in Swedish in speech and writing, and have a B driver's license.

As a person, you are development-oriented, see improvement opportunities, and take initiative. You are a problem solver and work in a structured manner with your own drive. Since the role involves a lot of collaboration, it is important that you have good teamwork skills, are unpretentious, and communicative.
