We are looking for an experienced, committed, and structured case officer with good collaboration skills and an eye for detail.

Unit's mission

The Legal Department is responsible for ensuring that the agency's operations are conducted uniformly and legally, and that the interpretation and application of laws and other regulations are done correctly.

In the Direction and Support unit, we work with staff issues such as strategic and administrative support to the department's managers, coordination of the Legal Department's development, processes and channels, operational planning and follow-up, budget, and competence supply.

Job description

As a case officer, you provide ongoing support to the department's managers, staff, and employees. You work independently in a social role that is based on facilitating the everyday life of the department's managers and employees with high integrity and great commitment, in close collaboration with your colleagues in the staff.

We are looking for someone who is service-oriented, engaged, and has high social competence. You have a proactive and solution-focused working style, good collaboration skills, and experience working independently. You are often coordinating and driving towards others and can handle stress and unexpected situations. You thrive in a job where there is a high pace at times. It is important to be meticulous and structured. The role involves foresight, ensuring that various assignments and routines are handled correctly, and that you have high digital competence.

Your tasks include:

  • handling incoming cases to the Legal Department in Service Now and functional mailboxes
  • managing the department's SharePoints and OneNote
  • providing administrative support for orders, purchases, and call-offs as well as invoice and financial management
  • providing administrative and technical support to the department's managers and employees
  • supporting the department's communication and competence supply work

The staff in the unit work in a cohesive team and must therefore be able to operate within one or more competence and operational areas. All employees should have a good ability to carry out varied assignments even outside their main area of responsibility.

The position is a permanent full-time employment that may start with a six-month probationary period. The place of employment is Solna.

Basic requirements for the position

  • Several years of experience as an administrator or executive assistant within government administration or a complex organization
  • Good experience in orders, purchases, call-offs, invoice, and financial management
  • Good experience in case management, record-keeping, and document management
  • Good knowledge of SharePoint, OneNote, Teams, and Service Now
  • Very good ability to express oneself verbally and in writing in Swedish

Other merits for the position

  • Several years of experience as an administrator, case officer, or executive assistant at the Public Employment Service
  • Experience in building pages and publishing texts on intranet and SharePoint
  • Experience in supporting the preparation and implementation of professional development initiatives
