Since 2015, Uppsala municipality has had a central registration that is part of the secretariat department. Within the department, we are responsible for supporting the entire municipal group by coordinating, assisting, and creating conditions for administrations, municipal companies, and elected officials. We have the strategic responsibility to create a forward-looking and efficient information management that promotes a democratic society with accessible information.
You will be part of one of our teams in the registration unit and will regularly work in Uppsala municipality's city hall, but your workplace will be, together with another colleague, at one of our municipal companies.
Your Assignment
The registrar constitutes an important support function for the company's various operations. Your main task is to manage and evaluate information as well as ensure the quality of metadata in the municipal common case management system. The role includes, among other things, record-keeping, case management, handling requests for public documents, confidentiality assessments, and managing mail and functional mailboxes.
The position includes responsibility as an archive coordinator for the operations, which includes supporting and educating employees in information management. In the archive coordinator assignment, you also provide support to archive reporters in the company's various operations. In addition to general guidance on various archive issues, it may involve providing support on how to read and interpret information management plans. Your role also includes responsibility for ensuring correct and secure storage, handling, and archiving of the company's public documents.
Your Background
We are looking for someone with education in archive and information science, registrar training, or other work experience that the employer deems relevant for the position. The position requires several years of experience working with registration and archive coordination within public operations, as well as experience in handling requests for public documents and working according to laws such as GDPR, the Archives Act, and the Public Access and Secrecy Act. The work also requires that you can communicate fluently in Swedish, both orally and in writing. You need to have good knowledge of information security, knowledge of document and case management systems, and have very good skills in Microsoft 365. It is an advantage if you have knowledge of Public360 and Visual Archive. It is also beneficial if you have insight into how municipal companies operate.
As a person, you are service-oriented with the ability to see issues from a broader perspective. You are flexible and see opportunities in changes. Furthermore, you are someone who takes initiative and starts activities to achieve results. Last but not least, you are structured, can prioritize between tasks, and enjoy working in a team.
