JOB DESCRIPTION

We are looking for a service-oriented and organized administrator for the information desk at the administration's headquarters, Selma Lagerlöf Center. In this role, you will be the first point of contact for visitors and employees and help create a positive experience for everyone visiting the center.

Selma Lagerlöf Center is part of the Administration for Support to Persons with Disabilities in the City of Gothenburg. We work to create an accessible and inclusive environment where we support individuals with various disabilities so they can live an independent and meaningful life. The position of Administrator is located in the IT and Service Unit, where you will be part of a service team consisting of two positions in janitorial services and two positions working at the information desk at Selma Lagerlöf Center.

With us, you will play an important role in ensuring a welcoming and efficient operation.

Your tasks include, among other things:

  • Welcoming and assisting visitors and answering questions
  • Handling incoming calls and emails
  • Booking meeting rooms and managing calendars
  • Handling orders
  • Coordinating/managing local rentals and invoicing
  • Supporting the administrative operations as needed
  • Updating informational materials and digital platforms

Working hours: You will work an average of 8 hours per day, according to a schedule set within the time frame of 08:00-19:00. We plan the schedule well in advance and try to accommodate requests when possible.

QUALIFICATIONS

We are looking for someone with a high school education in administration, service, or another relevant field. You need to have experience in reception or service work and good computer skills as well as experience with the Office suite.

It is essential that you have a good ability to express yourself verbally and in writing in Swedish, and we would also like you to have good knowledge of English.

You are friendly and helpful to others even in a stressful situation. You show respect for everyone you meet at work. You are inviting and positive. You work to ensure that the student/customer/user gets what they need.

You convey information and ideas clearly both verbally and in writing. You ensure that your message gets across. You adapt your communication according to the recipient, target group, and situation.

You work well with others by listening, showing interest, and respect. You understand the common mission and work to make it as good as possible.
