About the Job
As an administrative coordinator with us, you will be both a support to the department management and responsible for coordinating the department's internal administrative work. You work qualitatively and move effortlessly between different tasks, from invoice management to onboarding managers.
You will be responsible for the administrative work surrounding the management team's meetings, administering preparatory materials, and compiling various forms of overarching information at the departmental level. You will also work with personnel administration, financial follow-up, materials for agreements and arrangements, conference bookings, and record-keeping.
As an administrative coordinator, you create order and are responsible for how the department manages its shared documents. You handle digital tools with ease and support managers and employees in utilizing them. If necessary, you will assist unit managers in their work and relieve them of administrative tasks.
You represent the department in the agency's network for administrators, where you inform others about current issues the department is working on. You also identify needs that arise in the network and take them further with the management team.
Over 110 people work in the department, and we are responsible for strategic work in communication, HR, finance, procurement, and premises management. Our operations are important for inter-agency coordination. You report directly to the department head. Your closest colleagues are coordinators, administrative leaders, and business developers in the department.
You have an important role in the department, and your coordinated efforts contribute to a smooth working day for management. You will work in our modern and spacious office in Solna Business Park. You may also have the opportunity to work up to 50% remotely.

In this job, you should have:
- several years of relevant experience in qualified administrative work
- post-secondary education, preferably with a focus on finance and/or administration
- experience in supporting management
- experience in financial follow-up
- very good knowledge and ability to handle digital tools for finance, payroll, and the Office suite.
It is advantageous if you have experience working with administrative support in a management team, if you have current experience in an administrative coordination role, or experience working in a government agency.
As a person, you need to:
- have a strong attention to detail, be structured, and quality-conscious
- have excellent initiative and collaboration skills
- be service-oriented and move effortlessly between different tasks
- be self-driven, able to stay one step ahead and anticipate needs
- have strong communication skills, i.e., the ability to express yourself well both verbally and in writing in Swedish.
