The home care service in Svalöv Municipality is now looking for an engaged and structured employee for the role of Administrative Support with Planning Responsibility. This position suits you who thrive in a dynamic everyday life, have a clear solution focus, and can easily adapt your working methods to different situations and people.

In this role, you will be a close administrative and operational support to the unit manager and the operation. You contribute to ensuring that everyday life functions – even when conditions change rapidly. To succeed in this assignment, you need to be flexible, curious, and willing to learn while creating and maintaining good relationships with both managers and employees.

The work takes place in a team-based context where collaboration, participation, and shared responsibility are central components. You are expected to actively contribute to the team's collective learning, development, and a good collaborative climate between different functions and professional roles. You are a social chameleon who can switch between supportive, coordinating, and sometimes directing roles, depending on the situation.

An important part of the assignment is also to work on team development within the home care teams. We need you who want and can contribute to developing the teams' collaboration, clarifying working methods, and strengthening the shared responsibility in the operation. You will be engaged in this work together with the unit manager and employees, focusing on participation, quality, and a sustainable work environment.

RESPONSIBILITIES

Your tasks include, among other things:

  • Being a solution-focused administrative support in the daily operations of home care.
  • Working with and developing administrative routines related to staffing, planning, and follow-up.
  • Managing and updating data in the operation's systems for planning, staffing, and documentation, such as LifeCare Planning, LifeCare Provider, Phoniro, Multi Access, and My Plans.
  • Supporting the operation with ongoing administration, such as registrations in invoice, personnel, and time systems like Raindance, Self-Service, and Time Care.
  • Producing statistics, summaries, and decision support for managers and the operation.
  • Being responsible for planning and coordinating personnel resources based on decisions, users' needs, and the operation's conditions.
  • Reallocating resources in case of absence, changing needs, or emergencies while maintaining calm and a holistic perspective.
  • Collaborating with managers, employees, and other functions to create good flows, clear communication, and sustainable solutions.
  • Actively working on team development and contributing to the development of collaboration, common working methods, and the team's function within home care.

QUALIFICATIONS

We are looking for someone who is structured yet flexible, sees opportunities rather than obstacles, and thrives in a role where no day is the same as another. You are confident in yourself, unpretentious in collaborations, and have an easy time building trusting relationships.

We are looking for someone who has:

  • Post-secondary education in areas such as administration, public management, personnel administration, economics, logistics, or planning, or equivalent professional experience.
  • Experience in administrative tasks and preferably also in planning, scheduling, or resource allocation.
  • Very good system skills and an interest in learning new systems and working methods.
  • The ability to quickly adapt to changing conditions and make well-considered decisions.
  • A solution-focused and service-oriented approach.
  • The ability and willingness to work in a team and contribute to the development of collaboration, working methods, and common goals.
  • Good communication skills and proficiency in Swedish, both spoken and written.

Meritorious:

  • Experience with LifeCare systems, Phoniro, Kuben, My Plans, or other operational systems within care and welfare.
  • Basic knowledge of working time regulations and collective agreements.
  • Understanding of how administration, planning, and teamwork affect the quality, work environment, and economy of the operation.
  • Driver's license (B).
