The Swedish Armed Forces are in an expansion phase where the security situation and Sweden's NATO membership place increased demands on our operations. We are now looking for a civilian registrar for 1616.Staff Company at FM facility Bålsta – a broad and varied role where you are responsible for the registry and serve as an important administrative support to the company leadership.
About the Unit
The 161st Air Surveillance Battalion belongs to Uppland Air Wing F 16 and is one of the Air Force's combat units. The battalion operates 24/7, year-round, and is responsible for combat control and air surveillance as part of Sweden's and NATO's air defense. The unit operates in several locations in Sweden with centrally located command in the Mälardalen area.
The position is located at FM facility Bålsta, where you will become part of the company's security group. The company consists of both military and civilian personnel with diverse backgrounds and competencies, characterized by a strong sense of "we" and clear common goals.
Main Responsibilities
The role combines two important functions: registry and administrative support to the company leadership. This means you handle document and information flows in a security-classified operation, while also serving as practical support to the company commander and other leadership in daily work.
The registry duties include, among other things:
- Registration and diary filing of documents
- Handling both open and confidential information
- Support to case handlers in document management issues
- Handling inquiries from the public
- Archive and administrative support
- Follow-up of permissions and some system administration
The duties as administrative support to the company leadership include, among other things:
- Administrative support to the company commander and other leadership
- Preparation of background material, reports, and summaries
- Preparation and handling of documents in the Swedish Armed Forces' support systems
- Booking and administration of meetings, training, and operations
- Minute taking and diary filing
- Administration related to economy and procurement
- Support in recruitment and introduction of new staff
- Other common administrative tasks based on operational needs
The work is carried out in close cooperation with the company leadership and other functions within the battalion. It places high demands on accuracy, discretion, and the ability to handle parallel tasks.

REQUIREMENTS
Qualifications
- Upper secondary education with passing grades
- Experience in administrative tasks
- Good knowledge of Microsoft Office
- Very good ability to express yourself in speech and writing in Swedish
- Basic knowledge of English in speech and writing
- Class B driver's license

MERITORIOUS
- Experience working as a registrar or in other document management
- Experience in administrative work within public operations or government agencies
- Experience working with confidential information
- Experience with the Swedish Armed Forces' support systems, such as VIDAR or PRIO
- Completed conscription or previous work within the Swedish Armed Forces
- Experience in personnel or recruitment administration
- Current and relevant experience that the employer considers equivalent

Other
Employment Type: Permanent. The Swedish Armed Forces may apply a six-month probation period.
Full-time/Part-time: Full-time
Work Location: Bålsta. F 16 also has operations in other locations, which may involve occasional business travel.
Working Hours: Mainly daytime. Evening and weekend duty may occur during training activities.
Start Date: As soon as possible, by agreement
