Description of the workplace
The Section for Research, Collaboration and Innovation (FSI) has overall responsibility for supporting researchers and management at various levels regarding research funding, utilization of research results (commercial or otherwise), commissioned education, student innovation, and collaboration with the surrounding society. FSI consists of five departments: Research Service, LU Innovation, Collaboration, and Donor Relations.
The position is located at the section office and is responsible for leading and supporting the work within the section.

Tasks and responsibilities
We are looking for a proactive and responsible administrator with solid experience from larger organizations. The role of administrator is a key function and requires you to have a structured approach to work, good ability to work independently, and the capacity to take initiative. You need to have high social competence and be able to easily adapt to different environments and cultures. At times, there will be many tasks running in parallel, so you must be able to quickly get up to speed with new tasks, prioritize effectively, and be meticulous and stress-resistant. We also believe you are flexible, receptive, and solution-focused.
You will primarily work with the administration for the department and the section office, but also collaborate across the entire section together with other administrators. Your main tasks will include:
- Personnel administrative tasks such as payroll reconciliation, reviewing travel expense reports, and administration of Lucat.
- Providing support to employees regarding employment issues, e.g., wellness programs, vacation, leave of absence, and VAB (care for sick children).
- Responsible for the section's case registration (diary) and assisting with the administration of the department's case registration and archiving.
- Economic administration with a focus on invoice processing and support to employees when purchasing goods and services.
- Other ongoing administrative work such as mail handling, room booking, meeting bookings, and general office work.
Qualifications
Requirements for the position are:
- Education in personnel administration or education/experience that the employer considers equivalent.
- At least 10 years of experience in administrative work.
- Good knowledge of personnel administration, case registration, archiving, and recruitment work.
- Good proficiency in handling personnel administrative systems and financial systems.
- Very good knowledge of Swedish and English, both orally and in writing.
- Work experience from a government agency or larger public organization.

The position is a fixed-term appointment with a scope of 25 percent, with an start date of September 1, 2026, until September 30, 2026, or as agreed.
