The Mission of the Business Area
Arbetsförmedlingen (the Swedish Public Employment Service) is currently consolidating efforts to develop the agency's support functions from a holistic perspective, focusing on the agency's mission and target vision. In addition to bringing the agency's existing support departments together into the new business area, this area will establish common processes and working methods to offer more unified and coordinated support.
The Business Area for Operational Support consists of approximately 600 employees and managers, distributed across five departments and a support staff (stab).
The Role of Executive Assistant
Your duties include serving as close administrative support to the Director of the Business Area, handling email, calendar, meeting, and travel bookings, orders, etc. The role also involves providing some support to the business area's management group.
Organizationally, the Executive Assistant is placed within the business area's support staff. The Support Staff VO Operational Support is currently being established and consists of, in addition to the Executive Assistant, a Head of Support Staff and functions focused on operational coordination, operational development, and other common support staff tasks. As Executive Assistant, you will work closely with other employees in the support staff and participate in certain cross-support staff tasks.
You will prepare presentation materials, handle document registration (diary), write minutes in various forums, and handle other common administrative tasks. The role also includes responsibility for some of the department's shared SharePoint pages and, together with your colleagues in the support staff, handling incoming cases, distributing assignments, and processing referrals.
You will work in many IT systems, and a prerequisite for success is high digital maturity and interest. At times, the work pace is high. This requires foresight and structured working methods, as well as a high degree of flexibility and the ability to independently prioritize tasks. You will work independently in a social role based on high integrity in relation to the Director and the management group.
You are easy to collaborate with and have the ability to build and maintain internal and external relationships.

This is a permanent full-time position that may start with a six-month probationary period. Start date by agreement. The location is Solna.

Basic Requirements for the Position
- Approved upper secondary education
- At least five years of experience working as an Executive Assistant or management support for a senior manager in a leading position within the Swedish state sector, such as CEO/Deputy Director General or other senior management positions
- Experience working in a support staff (stab) or a similar function
- Very good ability to communicate in Swedish, both orally and in writing
- Very good knowledge of MS Office tools - primarily Word, Excel, and PowerPoint
Other Merits for the Position
- Good knowledge of SharePoint and OneNote
- Experience from working in support functions (HR, communication, finance, etc.)
- Experience with document registration and minute writing
