About the Department

School Secretariat EECS

EECS Operational Support is organizationally a separate department belonging to KTH's coordinated Operational Support (VS), which is led by the University President.

The School Secretariat's task is to provide executive support to EECS School's leadership functions and to provide operational support to the school's departments. The School of Electrical Engineering and Computer Science (EECS) consists of fourteen departments as well as research infrastructures. The School Secretariat EECS consists of the Executive Office, Infrastructure and Service, Economics, and Education Office. The department is led by the Head of Secretariat, and each area has a manager who is part of the department's leadership group.

Job Description

The role of Head of Secretariat involves responsibility for providing efficient and effective operational support within executive support, economics, educational administration, service, and infrastructure to the school's combined operations. The work as Head of Secretariat within the school secretariat involves planning, coordinating, and following up on the department's activities. You are expected to have own competence within the relevant operational area, lead personnel from several personnel categories, and lead through managers.

You belong to the operational support within KTH and report to the University President. You are expected to contribute to the overall work with and management of operational support at KTH.

You will work closely with the school's leadership to proactively and reactively offer support within a broad area of subjects and challenges. The task presupposes good knowledge of and interest in the school's organization and operations at all levels, from leadership to individual research groups, students, and doctoral candidates. You also need good knowledge of regulations and relevant legislation regarding administration and university matters. You make your own decisions and contribute expertise to others' decisions.

You prepare for and participate in a number of ongoing meeting series, including but not limited to, various leadership groups, the University President's leadership council, and the faculty board at the school. In addition, you are expected to be able to lead or contribute to a large number of associations within all the aforementioned areas.

As a manager, you are expected to lead and develop your own employees as well as create conditions for subordinate managers to similarly be able to perform their tasks. You have responsibility for the work environment, personnel, and economy for the department and are responsible for ensuring that the support activities meet the operational needs based on available resources and frameworks.

Qualifications

Requirements

  • A university education that the employer assesses as relevant for the position.
  • At least 5 years of work experience as a salary-setting manager.
  • Current work experience in working with organizational development, central leadership processes, as well as planning and follow-up, preferably within a higher education environment.
  • Good knowledge of both Swedish and English in speech and writing, as they are used in daily work.
  • Good familiarity with digital tools and administrative systems.

Meritorious Qualifications

  • Leadership training.
  • Good understanding of the higher education sector and the regulations that govern it.
  • Experience of leadership within a university or university college.
  • Knowledge of and understanding of KTH's operations.
